Florida’s Pasco County Chooses Mimecast to Improve Speed and Accuracy of Public Record Requests

Cloud-Based Email Archiving System to Help County Quickly Satisfy eDiscovery Requests



Mimecast, a unified email management company offering cloud-based email security, continuity, policy control and archiving, today announced that Florida’s Pasco County has teamed with Mimecast to move its email management systems to the cloud.

With Mimecast, Pasco County will greatly improve the speed with which public record requests can be fulfilled. County email will now be quickly searchable and the eDiscovery process will be cut down to mere minutes, giving the County an easy, cost-effective way to fill public record requests.

Prior to working with Mimecast, eDiscovery was a time-intensive, manual process that prevented the County from being as responsive to public record requests as it wished to be. Each request began a painstaking process that cost the County’s IT staff valuable hours due to the outdated archiving system. Mimecast solves this by archiving email in the cloud and enabling messages to be quickly and easily retrieved, exactly as needed. “As a public entity, it is critical that we be able to respond to record requests in a timely fashion—we simply cannot delay in sharing needed information,” said Kristine Johnson, technical architect for Pasco County. “Before Mimecast, finding the right messages was taking too much time and energy away from other key IT tasks that needed attention.”

The Mimecast solution is being made available to other public entities through The Florida Local Government Purchasing Network (FLGPN), which is sponsored by the Pasco County Board of County Commissioners and was created to develop new and innovative contracts for goods and services that are widely-used by governments in Florida and other states. As an approved vendor, other county governments and organizations in Florida that participate in the cooperative can work with Mimecast by “piggybacking” on the master agreement, eliminating any duplication of contracting efforts and saving taxpayers' dollars. FLGPN can often provide a contract that offers price levels and incentives that a single agency cannot acquire on their own. In addition to the eDiscovery improvements, Mimecast’s Unified Email Management (UEM) solution brings Pasco County enhanced spam and virus protections and guaranteed continuity for its employees during email or power outages. Organizations such as Pasco have seen the benefit of replacing multiple, on-premise point solutions with a single cloud-based solution that significantly reduces the risk, complexity and overall cost of managing email. “As local governments look for ways to reduce spending and become more operationally efficient across the board, bringing together all critical email functions into a single service makes perfect sense,” added Mary Kay Roberto, Mimecast’s SVP and General Manager. “Because the solution is cloud-based, no additional equipment needs to be purchased—and it is easy to scale the solution to support future data management needs, something that is key to government agencies and organizations.”
